Use Retail Invoices when you need to bill a customer directly, agree on a due date, or send a secure link to pay. It is separate from the buyer’s immediate checkout in a public catalog; use Retail Orders for that workflow.
Invoices can use items and payment methods from a catalog. Review catalog setup if the item, tax location, or payment method you need is not available.
Quick facts
Start here
- An invoice can be emailed with a secure payment link or saved as a draft without sending.
- The due date is set on each invoice. Review the reminder schedule before sending so it matches your terms.
- Invoice history keeps invoice status and payment actions together; a payment recorded manually should reflect money already received.
Build the invoice
Choose the customer and catalog
Open Retail Invoices and choose Create invoice. Select the catalog whose items, tax, and payment methods apply.
Choose an existing customer or enter the customer name and invoice email. Add a phone number only when it helps with follow-up.
Add items and set the terms
Add catalog items or type a custom line item, then review the quantity, price, discount, and tax location. Add a note only if the customer needs it on the invoice.
Set the Issue date and Payment due date. If you split the total into installments, make sure the scheduled amounts add up to the invoice total.
Choose when to send reminders and the payment link
Review the reminder rules
Open the reminder section and adjust the send date, repeat interval, message, and maximum sends to match the terms you agreed with the customer. New invoices start with reminders seven days before the due date, on the due date, and daily after it for up to 30 sends; change or remove any rule that does not fit.
Keep the subject and message clear about the due date and next step. Confirm the invoice email before enabling reminders.
Send now or save a draft
Leave Send now on to create the invoice and email the customer a secure link to review and pay. Turn it off to save the invoice as a draft; the customer is not emailed until you send it later.
Before sending, review the invoice preview and due date. The invoice appears in the invoice history after it is created.
Track payment and follow up
- Use the invoice history search and status filter to find a draft, sent, viewed, partially paid, overdue, paid, or void invoice.
- Copy the secure invoice URL when you need to share the payment link through another approved channel. Use Record payment only after an offline payment has been received.
- Use the row actions to send or remind, edit an eligible invoice, issue a refund, or void an unpaid invoice. Check the invoice status after the action completes.
