Set up catalogs and products for online ordering

Choose a catalog, organize products and modifiers, set location-level behavior, and publish a menu that is easy to browse and buy from.

Catalogs are the boundary between your internal product data and what customers can order. Open Catalogs, select the catalog you want to change, and work through its tabs in order.

Keep everyday ordering, catering, holiday releases, and gift-card experiences in separate catalogs when the audience, fulfillment rules, or checkout questions are different.

  • Catalog settings are tenant-scoped and catalog-specific unless a screen explicitly says it is a storefront default.
  • Products are alphabetized for stable scanning; changing a name does not unexpectedly move the active row while you edit.
  • Use the Products header to open Square Sync or add a Farin product.
  • Prices, visibility, and stock can be overridden per ordering location.

Step 1: Pick the right catalog

  • Open Catalogs and choose a catalog before editing products or checkout.
  • Use a short customer-facing name such as Menu, Catering, or Holiday Gifts. Keep operational notes in the settings, not in the public catalog name.
  • Use the catalog’s location selector when only some Square locations should receive orders.

Step 2: Organize the menu

Customers see the result of the catalog work as a focused menu: clear categories, real images, prices, and one obvious action.
  1. 1 Search by product name when the menu is too large to scan item by item.
  2. 2 Use the category links to jump directly to Bakery, Coffee, Cookies, and other sections.
  3. 3 Each category shows its item count and keeps related products together.
  4. 4 Add to cart is immediate for simple products; customizable products use Customize instead.
  5. 5 Your order stays visible beside the menu so customers can review it without losing their place.
Products keeps the customer-facing catalog easy to maintain: sync or add items, filter the table, and make safe quick edits row by row.

  2. 2 Square sync imports or refreshes products for the catalog you selected above.
  3. 3 Add product creates a Farin-managed item without leaving the product table.
  4. 4 Filter the table by product name before editing a row.
  5. 5 Quick-edit name, category, default price, availability, top-pick status, details, and deletion from each row.

Order categories for scanning

Open Categories, drag the handle to place high-intent categories first, and keep the sequence aligned with how customers decide what to buy.

Use clear groups such as Breakfast, Pastries, Coffee, Bread, Catering, or Gifts rather than long mixed lists.

Edit products in the table

Open Products to see the catalog as an alternating-row table. Use the fields that fit the viewport for quick edits, then open the icon-only details action for image, recipe link, description, modifiers, and advanced controls.

Use the image thumbnail to open the tenant-scoped media manager instead of pasting a raw URL. Use the AI action in the description editor to draft a useful, specific product description, then review it before saving.

Step 3: Control options without clutter

  • Use Modifiers for reusable option groups such as milk, flavor, protein, or packaging.
  • For short catering choices, show options inline when the decision is easy to scan.
  • For everyday products with long modifier lists, set the catalog to Open a product modal. Customers see a clean card first and make detailed choices only when they add the item.
  • Optionless products should use Add to cart directly; they should not open an unnecessary details modal.

Step 4: Review location-level values

  • Open the location controls for each product or variation and review price, visibility, stock, and inventory behavior.
  • If a product is available at only one location, hide it for the other locations instead of deleting it from the catalog.
  • When a product is Square-synced, confirm the selected Square location and variation before changing a value. Use a sync after intentional Square-side changes.
