Invite staff and launch staff onboarding

Set onboarding rules, choose default access, add staff from the manager dashboard, and share the public onboarding form with new hires.

Use this guide when you are ready to bring your team into Farin after the company and location setup is done.

Start in Settings to set the required fields and default permissions, then move to Users to invite staff or share the public onboarding link.

  • Staff Onboarding Settings control both the manager add-user form and the public staff onboarding form.
  • If an email already belongs to an existing Farin user, the add-user flow links that person instead of creating a duplicate account.

Step 1: Set the onboarding rules first

Open Staff Onboarding Settings

Go to Settings or open the Staff Onboarding Settings panel from Users.

Pick the default route access you want new staff to start with, then choose which optional fields are visible or required.

This panel controls the default access, email message, and field rules used when you add staff.

Save before you invite anyone

Field requirements from this panel also apply when managers add users directly.

If you need address, emergency contact, or payroll fields later, turn them on before you start inviting staff.

Save the onboarding rules first so direct invites and the public staff form both follow the same field requirements.

Step 2: Add a user directly from the manager dashboard

In Users, open the manual add-user form.

Enter the email first. If Farin finds an existing auth user, it fills what it can and skips the password requirement.

  • Choose the company role and locations for that staff member.
  • Review the default permissions before you save.
  • If the form says a required field is missing, go back to the onboarding settings and decide if that field should stay required.

Step 3: Share the public staff onboarding form

Send the link from Users or copy your company page

In Users, use Send Invite if you want Farin to send the staff onboarding email.

You can also share your company public staff page directly. The route ends with /onboarding/staff for your company.

Use the Users page to send the onboarding link directly or copy the public staff onboarding page for manual sharing.

Tell staff what they will complete

The public form walks staff through personal details, payroll details, address, emergency contact, account setup, tax information, and the legal agreements.

If a staff member skips the tax section, payroll uses standard withholding until those forms are finished later.

The public staff onboarding page collects the team member information managers need before the first shift.

If a staff invite gets stuck

Common fixes

If the email already belongs to someone in your company, open that user record in Users instead of creating a duplicate.

If the public form is missing fields you expected, review Staff Onboarding Settings and save your changes before sending the link again.

If a public submission is incomplete, ask the staff member to reopen the same company link and finish the form.
