Use Update Prices from Receipts to turn a mapped receipt into a draft review of vendor prices. This is a receipt-to-price workflow; use Compare Vendors when you are comparing current vendor options instead.
Only reviewed lines marked ready are applied. A review can update an existing vendor price row or create a new one, and the change is recorded in pricing history.
Quick facts
Start here
- The queue shows receipts already mapped to a vendor; it does not list every uploaded document.
- Price extraction suggests receipt line, ingredient, pack, quantity, unit, and price details. Check those suggestions against the receipt before applying them.
- Large unit-cost changes require an extra confirmation when you apply the review.
- Lines marked Skip this line are excluded. Only ready observations update vendor pricing.
- After applying, the review is marked applied and its rows are no longer editable.
Step 1: Find a mapped receipt
Open Update Prices from Receipts. Search by vendor or receipt, then review the date, total, and status before opening a row.
Use Vendor to check the supplier record or Receipt to open the source document. If a receipt is missing, confirm that it was imported and mapped to the correct vendor in imported document review.
Step 2: Extract receipt prices and open the draft
Choose Extract Prices to start extraction, or Run Extraction to try again on an existing draft. Extraction can take a few minutes. When it finishes, choose Open Review.
If no purchasable lines are found or a line is missing, open the receipt preview and use Re-run Price Extraction or add an observation manually in the review.
Step 3: Match and correct each receipt line
In the review, expand a line and confirm the Ingredient and Match existing vendor price fields. If it is a genuinely new supplier item, leave it as a new vendor price row; Farin creates that row when you apply the review.
Check the quantity, unit, price, SKU, vendor and pack descriptions, Case, and Variable Weight values. Compare the receipt line and any evidence with the suggested values, then choose Save Changes.
- Leave Status at Ready to apply for a confirmed purchase line. Choose Skip this line for tax, fees, a non-ingredient item, or a match you cannot verify.
- Review the price and standardized unit-cost change. Large unit-cost changes are highlighted and require confirmation before they can be applied.
Step 4: Apply the reviewed prices
When every ready line has the correct ingredient and pack, choose Update Prices and confirm any large-change prompt. Farin updates or creates the vendor price rows, records pricing history, and marks the review applied.
After the update, check the affected ingredient and recipe costs. Use Review vendor pricing history to inspect the saved change, and Ingredient Export to prepare a new comparison.
If extraction or matching is wrong
Correct the draft before applying
Extraction is a suggestion, not a price approval. Fix the ingredient, unit, pack, or price while the review is still a draft. Skip any line you cannot verify from the receipt.
